A desk or exam copy is a copy of a textbook sent to an educator in the hope that they will "adopt" the text for their course. The book is usually free, and is sent as long as the publisher can verify that the individual requesting the book is actually in a position to adopt it for a course. To obtain a copy, you (or your school's bookstore) contact the publisher. Some publishing houses have a link with instructions for obtaining a desk copy, some do not. You will need to provide your name, email, the name of your school/university, the course you will be teaching, contact info for the school, and sometimes the number of students you anticipate will be in the course.
You may use the verbs 'utsusu' or 'kopii (wo) suru.' meaning 'to copy.' If you're referring to the noun, (as in, "Take this copy to the front desk") you may simply say 'kopii.'
First, you need to decide if you want to buy a physical copy of your help desk software or a digital copy. I would recommend going to cnet.com and researching the software they list; if one appeals to you, you can often times buy or download a copy of it there. They also often offer free trials for download, so it's a great way to see what's available. If you need a psychical copy of whichever help desk software you've decided on, then check a local store like Best Buy or CompUSA or Office Depot.
